TERMS AND CONDITIONS OF SERVICE

  1. LEGAL AGREEMENT AND STATUS

1.1 Parties and Services

This agreement is made between Pin-Tuition LTD (the Business) and the Client (defined as the Student or their Parent/Guardian). The Tutor agrees to provide private tuition for the mutually agreed duration, frequency and fee rate.

 

1.2 Independent Status

The Tutor is engaged by the Business strictly as a self-employed, independent contractor, and is not an employee of Pin-Tuition LTD.

2. BOOKINGS, INVOICING AND LATE PAYMENTS

2.1 Advance Payment

Lessons are charged at the agreed rate and are payable monthly in advance via bank transfer. Invoices are issued on the 20th of each month for the upcoming calendar month. Any general schedule adjustments or cancellations must be emailed to heather@pin-tuition before this invoice date.

 

2.2 Deadlines and Forfeiture

Full payment must be received by the last day of the current month to secure the student's slot. If payment is outstanding, a reminder is issued on the 1st, and a £10 late fee is automatically applied on the 2nd. If unpaid by the 3rd, upcoming lessons are cancelled immediately and the slot will be permanently offered to the waiting list.

3. 48-HOUR CANCELLATION AND RESCHEDULING POLICY

3.1 Notice Requirements

A minimum of 48 hours notice is strictly required to cancel or alter any scheduled lesson. Pre-paid lessons cancelled with more than 48 hours notice will be rescheduled to a date and time that is mutually convenient for both the Tutor and the Client. Paid lessons cannot be rolled over into the subsequent invoicing month due to client conflicts.

 

3.2 Late and Tutor Cancellations

Any lesson cancelled with less than 48 hours notice will not be refunded; rescheduling a late cancellation is entirely at the Tutor's discretion and subject to availability. If a Tutor must cancel a lesson, it will be rearranged, refunded in full, or applied as a credit to the following month's invoice.

4. ATTENDANCE AND LATENESS

4.1 Student Lateness

If a Student is late, the Tutor will remain online for 10 minutes before emailing a reminder. If the Student fails to join or respond within 20 minutes of the start time, the session is deemed a Client cancellation and charged in full. Late arrivals joining after 20 minutes must contact the Tutor directly to rejoin for the remaining duration only. No extra time will be added to the end of the session.

 

4.2 Tutor Lateness

If a Tutor is late, the missed time will either be added to the end of that session (subject to availability) or credited and added to a subsequent scheduled lesson.

5. STUDENT HOLIDAY CAP AND BUSINESS CLOSURE

5.1 Annual Allowance and Booking

Students are permitted a maximum cap of three weeks of holiday per academic year (August to June) where regular weekly lessons may be paused without charge. Planned holiday dates must be submitted in writing to heather@pin-tuition before the 20th of the month preceding the holiday to be deducted from the invoice.

 

5.2 Business Winter Closure

Pin-Tuition LTD will be formally closed for two weeks over the Christmas and New Year period. Lessons are automatically paused during this closure and are not invoiced. This winter closure is separate from, and does not impact, your individual three-week student holiday allowance.

 

5.3 Exceeding the Cap

If a student exceeds the three-week holiday cap, they must continue to pay the standard monthly fee to retain their specific Tutor and slot.

Delivering these extra missed sessions via rescheduling is entirely at the Tutor's discretion and subject to their availability.

6. SICKNESS POLICY

6.1 Illness Provisions:

If a student receiving face-to-face tuition contracts an infectious illness, an online lesson will be offered as a substitute at the same time or a mutually agreeable time. If the student is too unwell to participate in online tuition, the standard 48-hour cancellation policy applies.

7. TERMINATION AND LIMITATION OF LIABILITY

7.1 Progress and Liability

While Pin-Tuition LTD and the Tutor endeavour to ensure satisfactory progress, academic success or specific exam results cannot be guaranteed. The Business and Tutor accept no liability for any direct, indirect, consequential, or exemplary damages, or material errors in learning contents.

 

7.2 Termination Rights:

Any party may terminate lessons should they no longer be considered beneficial. Pin-Tuition LTD and the Tutor reserve the right to terminate tuition immediately for consistent absences, non-payment, late fees, or inappropriate behaviour.

8. CLIENT ACKNOWLEDGEMENT AND REGISTRATION

Proceeding with registration, booking validation, or payment indicates full and unconditional acceptance of the above terms and conditions.

Group lessons are charged at the rate of £18 per hour and are payable monthly in advance via bank transfer. Invoices are issued on the 20th of each month for the upcoming calendar month.

3. BLOCK BOOKING, NON-CANCELLATION, AND CLOSURE POLICY

3.1 No Individual Cancellations

Group lessons are booked and invoiced strictly on a block monthly basis. Because a place in a group session is reserved exclusively for the Student, individual missed sessions within a monthly block cannot be cancelled, refunded, rescheduled, or credited. The full block fee remains payable even if the Student is unable to attend a specific session.

 

3.2 Missed Work

If the Student cannot attend a session, they may contact the Tutor to receive the work missed. The Tutor will mark any work completed from missed sessions, provided it is returned to the Tutor within that same week.

 

3.3 Business Winter Closure

In the event that a Tutor is obliged to cancel a lesson, the session will either be rearranged for a mutually convenient time, or a refund/credit of £18 per cancelled lesson will be applied toward future bookings.

 

4. ATTENDANCE AND LATENESS

4.1 Student Lateness

The Student is booked into a specific group time slot, and the Tutor will be available for the full duration of that slot. If the Student arrives late to the group session, they may join the live class, but the Tutor will not have time to re-cover any material the Student missed.

 

4.2 Tutor Lateness

If a Tutor is late to a session, any missed time will be added onto the end of the lesson.

 

 

 

5. ONLINE CODE OF CONDUCT

5.1 Respectful Behaviour

All Students are expected to conduct themselves in a respectful manner during live Zoom sessions to ensure a safe online learning environment. Any behaviour or discussion deemed inappropriate or detrimental to others will not be tolerated. Such behaviour will result in the Student being removed from the meeting and banned from returning, with no refund provided.

 

5.2 Zoom Requirements

Students must enter the meeting with only their first name visible and keep their cameras on during registration so the Tutor can verify attendance. To prevent background noise, students must keep their microphones off unless asked to turn them on for discussion. The Zoom chat box must only be used to ask for help or discuss lesson questions.

 

 

6. TERMINATION AND LIMITATION OF LIABILITY

6.1 Progress and Liability

While Pin-Tuition LTD and the Tutor endeavour to ensure satisfactory progress, academic success or specific exam results cannot be guaranteed. The Business and Tutor accept no liability for any direct, indirect, consequential, or exemplary damages, or material errors in learning contents.
